The Document Is Ready. The Letterhead Isn't.

Why document layout still takes so much effort, and what changes today with Letterhead Studio.

The deadline for a public administration tender is tomorrow morning. The technical analysis is done: the copy has been proofread, diagrams are in place, and the pricing quote has been double-checked.

Only one step remains—the one that shouldn't matter at all: transferring it onto official letterhead, exporting to PDF, and digitally signing it.

Text pasted into the template changes font. A diagram slips onto the next page, dragging half a section along with it, while the footer breaks onto an awkward new line. You adjust it manually, export, double-check, and sign.

Then, inside the signed file, a typo catches your eye on page six. A digitally signed PDF cannot be edited: you have to return to the source document, re-export, review the layout from scratch, and sign it all over again.

If you work in a professional practice, a corporation, or a public institution, you know this kind of evening all too well. The actual work had been finished hours ago.

How Letterhead Studio Was Born

Letterhead Studio was born out of this exact frustration. The founder is an independent software developer and tech consultant. Every week, he produces analyses, technical documentation, and proposals—almost all of which must be issued on official letterhead and digitally signed.

“One day, I placed two documents sent to the same client during the same week side by side: a quote and an analysis report. They looked like they came from two completely different firms. Different fonts, different margins; in one of them, the footer still had my old phone number.”

Neither copy-pasting into traditional templates nor expensive PDF editing software solved the problem: every document had to be tweaked manually, one by one.

“I needed a faster, more dependable approach. I couldn't find one, so I built it.”

The Problem Isn't the Writer—It's the Template

Traditional templates force you to bundle two distinct things together: content and page presentation.

Yet content almost always originates somewhere else: from an email, a supplier's PDF, or an AI prompt response. When you paste it in, it brings along its own styling, clashing directly with the template's rules. Over time, different template versions spread across office computers. That is how the exact same organization ends up presenting itself to clients in five distinct ways.

The Core Principle: The Letterhead Adapts Around the Text

Letterhead Studio flips this paradigm. Text is no longer forced into a rigid template: the letterhead composes itself around the text.

You configure your logo, color palette, typography, headers, and footers just once. From that moment forward, all you do is write. The page lays itself out automatically—always consistent, down to the millimeter.

Spotting a typo after exporting is no longer a lost evening: fix the word, download again, and the layout stays identical. Your entire letterhead configuration lives in a single shareable file: every document leaving your office carries the exact same visual identity, no matter who wrote it.

Privacy: Your Documents Belong to You

Sensitive data passes through your letterhead every single day. Today, it has become standard practice to draft documents in cloud office suites, leaving your clients' data on third-party servers indefinitely.

Letterhead Studio takes a deliberately unconventional stance:

  • No accounts: No email, password, or profile required. The Studio never asks who you are.
  • No data storage: Text reaches the server solely to generate the PDF; it is processed in memory, never written to disk, and wiped immediately once the file is delivered.
  • Your work stays yours: Your letterhead setup and documents remain in your browser or as local files on your machine.
  • Transparency: The server is hosted in Germany (EU), and the rendering engine (Mela Letterhead) is open source. Anyone can inspect how it works.

“I think of Letterhead Studio like the neighborhood print shop of the past. You bring your original and leave with your copies. Nobody asks your name, and your original goes right back home with you.”

How It Works

  1. The content: Write directly inside the Studio, import an existing file (.docx, .odt, .rtf, Markdown), or paste your draft.
  2. The letterhead: Build it from scratch or pick from ready-made templates (formal notices, price proposals, meeting summons).
  3. The live preview: The layout renders dynamically in real time as you type.
  4. The PDF export: Standard PDF, PDF/A-2b (for long-term archiving and digital signatures), or PDF/UA-1 (for universal accessibility), with full compliance validated during generation.
  • Need to reach multiple recipients? With a CSV file—even exported straight from Excel—the Studio creates a tailored letter for every row.

Who It's Built For

Independent professionals: Consultants, attorneys, engineers, property managers. The Studio is free and requires no registration: unlimited drafts and 3 exported PDFs per day, up to 25 pages each. That covers up to 75 pages daily—ample capacity for daily client work.

Firms, public agencies, and corporate teams: If you handle high volumes across a larger team, a dedicated multi-user license is currently in preparation. If interested, contact Emails are not allowed.

We Just Launched: Let's Build It Together

Letterhead Studio has been online for only a few weeks. Because your documents never stay on our servers, your direct feedback is our only compass for improvement.

We are actively refining document imports for complex Word files and expanding the toolset. As with any critical document, always review your PDF before dispatch: templates provide a structural foundation, not legal advice. If you spot an issue or have a feature suggestion, reach out or leave a comment below.

No more late nights lost fixing broken margins and awkward page breaks.
